RECLASSIFICATIONS

Department Form Submission

1) Submit a position questionnaire

The supervisor provides details about the position such as: 

  • purpose,
  • essential functions,
  • required education,
  • and other similar information.

The department may utilize assistance from the position incumbent as needed.

2) Submit Form HR34A

HR34A is the official request for a reclassification. This form is completed by the supervisor and includes basic position information along with the reasons for the proposed title change.

3) Obtain signatures

Both the position questionnaire and HR34A require signatures from:

  • The supervisor,
  • The department head, and 
  • The Dean, Vice President, and/or the Provost's Office.   

Please include the signature of the position incumbent except under unique circumstances.

4) Submit the form to the Compensation Team in AU Human Resources.


Compensation Unit Review

1) Compensation Specialist assigned

A Compensation Specialist is assigned to request and reviews the documents (Position Questionnaire, HR34A, and other relevant documents) that were provided.

2) Existing or New Reclassification?

The Compensation Specialist performs these steps, depending on if the request is for an existing classification or a new classification. 

For existing classifications, the Compensation Specialist will:

  • Contact the Supervisor to confirm that the documentation has been received and/or obtain additional information if it is needed.
  • Review the Position Questionnaire and HR34A.
  • If the position has an incumbent, pull relevant employee data and work history.
  • If needed, request a position interview meeting with the supervisor, incumbent, and/or HR Liaison.
  • Send the proposed job classification to the supervisor and HR Liaison for their review and finalization.

 

For new classifications, the Compensation Specialist will:

  • Contact the Supervisor to confirm that the documentation has been received and/or obtain additional information if it is needed.
  • Pull relevant employee data and work history.
  • Review organizational chart to determine the impact on the division.
  • Determine the impact on employees.
  • If needed, request a position interview meeting with the supervisor, incumbent, and/or HR Liaison.
  • Create and send draft job description to the supervisor for approval.
  • Assign the grade based on market data and job evaluation, and determine exemption status and various other job and position attributes.
  • Review results with the supervisor and HR Liaison for consensus.

3) Pay Evaluator

The Compensation Specialist reviews the employee's qualifications and then places the employee in the Pay Evaluator. Once the Pay Evaulator is completed, the Compensation Specialist will send it to the supervisor and HR Liaison to discuss and recommend salary. 

4) Recommendations and Approvals

The Compensation Specialist obtains all relevant approvals and then submits the Position Management Action Form (HR-35).

Review by Department and Compensation

1) The department submits required documents

The department submits the Position Questionnaire, HR34B and other relevant documents to the Compensation Unit of Human Resources.

2) Compensation Specialist assigned

A Compensation Specialist is assigned to request and reviews the documents (Position Questionnaire, HR34B, and other relevant documents) that were provided:

For existing classifications, the Compensation Specialist will:
  • Contact the Supervisor to confirm that the documentation has been received and/or obtain additional information if it is needed.
  • Review the Position Questionnaire and HR34B.
  • Review the exemption status and salary range.

 

For new classifications, the Compensation Specialist will:

  • Contact the Supervisor to confirm that the documentation has been received and/or obtain additional information if it is needed.
  • Review the organizational chart to determine the impact on the division and other employees.
  • If needed, request a position interview meeting with the supervisor, incumbent, and/or HR Liaison.
  • Create and send draft job description to the supervisor for approval.
  • Assign the grade based on market data and job evaluation.
  • Review results with the supervisor and HR Liaison for consensus and finalization.

 

3) Recommendations and Approvals

The Compensation Specialist creates the Position Management Action Form (HR-35) and then sends it for final approval (i.e. Dean, Vice President, Chief Operating Officer, Chief of Staff, and/or President). 

The signed HR-35 (Position Management Action Form) allows the action to be effective or the position to be posted. Upon Compensation and HR signature approval, the HR-35 will be sent to the HR Liaison. Once the HR Liaison receives the form, if the new position needs to be posted to the AU Employment site, the supervisor and HR Liaison can then contact the Employment Unit for next steps.
